Sources
Email sources: Gmail and Outlook
Notify an agent when newly received inbox mail matches a sender, recipient, or subject rule.
When to use it
Choose email for activity such as customer requests, supplier invoices, or service alerts that arrive in Gmail, Outlook.com, or Microsoft 365.
Example
An invoice-reviewer agent selects your billing mailbox and retains the sender and subject. Mail whose subject contains invoice enters its inbox and produces a notification. The agent uses its own authorized mailbox tools to read the email.
Set it up
- Open Sources and connect an Email account.
- Choose Gmail or Outlook, complete provider authorization in your browser, and verify the connected address.
- Open Agents & outputs, set up or edit an agent, and select that account as an input. Several agents can use one account.
- Approve the metadata to retain, add source-relative conditions such as subject contains invoice, and select fields to share. Save matching and nonmatching samples.
- Review notification timing, test the receiver, and approve activation. Send a fresh matching email and check retained membership and receiver delivery.
Important limits
- Signing in does not authorize mailbox capture. Each mailbox needs its own connection.
- Doorbell reads metadata, not bodies, previews, or attachments. Your agent needs separate mailbox authorization.
- Only newly received inbox messages observed during permitted capture qualify. Old mail and later label changes do not qualify; reconnecting does not backfill missed mail.
- Input conditions apply to that source. Matching uses captured fields and is case-sensitive. Pausing agent notifications does not stop source capture or erase retained mail metadata.
Troubleshooting
- For Reconnect needed, open the account under Sources and authorize it again. Available inputs can continue.
- For Outlook, a work or school account may require administrator consent.
- If a fresh email does not arrive, verify captured metadata, condition values, active settings, grouping, quiet periods, and cooldown.
